Blank invoice template you can fill in and print

A blank invoice is one page and nine fields. Here is what each field is for, what to write in it, and a free template you can fill in and print without making an account.

What a blank invoice needs

Every invoice that gets paid without a follow-up email contains the same nine things. Leave one out and you get a question instead of a payment.

1. Your identity

Business name, address, email and phone. If you trade under an LLC, use the registered name — it is what the client's accounts team will match against their records.

2. Tax ID (optional)

An EIN or state tax number. Not required on most invoices, but corporate clients often ask before they can raise a payment.

3. Invoice number

Unique and sequential. Never reuse one — a duplicate number is the fastest way to have an invoice rejected.

4. Dates

The issue date and the due date. "Net 30" means due 30 days after the issue date; leaving the due date blank invites a delay.

5. Client details

The legal name of the business you are billing, plus the address and email of whoever processes invoices. Sometimes that is not your contact.

6. Line items

Description, quantity and rate for each piece of work. "Consulting" tells nobody anything; "Brand workshop, 2 sessions, 4 hours each" does.

The last three are the ones people forget: subtotal, tax and total, payment instructions (ACH details, a check address or a payment link) and terms such as a late fee. If a client has to reply to ask how to pay you, the invoice has failed.

How to fill in a blank invoice

1

Number it before anything else

Start at 1001 and go up. If you use a bookkeeping tool later, keep the same sequence so the records line up.

2

Set the date and the payment terms

Issue the invoice on the day you finish the work, not the day you remember. Pick the terms first — the due date follows automatically.

3

Describe the work in the client's language

Use the words from your proposal or statement of work. The person approving the invoice was probably not in the meeting.

4

Add tax only if you collect it

In the US, sales tax depends on your state and on what you sell. Services are often not taxable, products usually are. If you are unsure, ask your state's revenue department — not a template.

5

Tell them how to pay

ACH details, a check address, or a card link. Put it in the notes field every single time.

Four mistakes that delay payment

  • Reusing a number. Two invoices with #1042 confuse accounting software and get flagged for review.
  • No due date. "Payment on receipt" is better than nothing, but a specific date is better than both.
  • Vague line items. If the description could apply to any client, it is too vague.
  • No way to pay. An invoice without payment details turns into a three-email conversation.

None of these are layout problems — which is why switching templates will not fix them. Fill the fields properly first, then make it look good.

Questions

Is a blank invoice template legally valid?

A template is only a layout. The invoice becomes valid when it carries your business details, a unique number, the issue date, a description of the work and the amount due.

Can I use this template for US clients?

Yes. US Letter is the default page size, the tax label is Sales Tax and the currency is USD. Change the country selector if you bill in Canada, the UK, Australia or the EU.

Do I need an EIN on my invoice?

Not legally required in most cases. Some corporate clients ask for one before they can process payment, and the generator has an optional EIN / Tax ID field.

Can I edit an invoice after I send it?

Do not overwrite the original. Issue a corrected invoice with a new number and reference the original, so both sides keep a clean paper trail.
